The Executive Secretary to the General Manager provides comprehensive administrative and executive support to the General Manager, ensuring the efficient coordination of daily operations, communications, and executive priorities. This role serves as a key point of contact between the General Manager, internal departments, clients, and external stakeholders while maintaining the highest standards of professionalism, confidentiality, and organizational excellence. The Executive Secretary plays a vital role in supporting strategic initiatives and contributing to the smooth operation of the company's executive office.

Key Responsibilities
Manage the General Manager's calendar, appointments, meetings, and travel arrangements.
Coordinate and prioritize correspondence, emails, telephone calls, and other communications on behalf of the General Manager.
Prepare professional reports, presentations, meeting agendas, minutes, letters, and other business documents.
Organize executive meetings, board meetings, and management discussions, ensuring all required documentation is prepared in advance.
Follow up on action items, deadlines, and decisions made during meetings to ensure timely execution.
Coordinate communication between the General Manager and internal departments, hotel properties, clients, and external partners.
Maintain confidential records, contracts, and executive documentation with a high level of discretion.
Assist in preparing budgets, business reports, operational summaries, and management presentations when required.
Screen visitors and incoming requests while ensuring efficient management of executive priorities.
Arrange domestic and international travel, accommodation, transportation, and itineraries for executive business trips.
Support company projects and special assignments initiated by executive management.
Maintain filing systems, document control, and administrative records in both physical and electronic formats.
Ensure compliance with company policies, administrative procedures, and corporate governance standards.
Perform other executive and administrative duties as assigned by the General Manager.
Qualifications & Requirements
Saudi Citizen
Bachelor's degree in Business Administration, Management, Executive Administration, Hospitality Management, English Langauge, or a related field.
Minimum of 3–5 years of experience as an Executive Secretary, Executive Assistant, or similar role supporting senior executives, preferably within the hospitality, hotel management, or corporate sector.
Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously.
Exceptional written and verbal communication skills in English and Arabic.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong business writing, report preparation, and presentation skills.
High level of professionalism, integrity, and confidentiality.
Strong interpersonal skills with the ability to communicate effectively with executives, clients, and stakeholders.
Ability to work under pressure, meet tight deadlines, and exercise sound judgment.
Experience with document management systems and digital collaboration tools is an advantage.
